Workstation Management & Office Safety

Proper management of the workstation environment has a big impact on office worker health and safety. Arranging workstations to fit each employee, combined with good technique, can prevent injury and discomfort and lead to greater productivity.

Workstation Design

Use ergonomic strategies when setting up a computer workstation or performing computer-related tasks. Consider body size, strength and range of motion to fit the workplace to the worker.

Body Position

Keep the body in a neutral position. Relax your arms from the shoulders, place your elbows and forearms at right angles to the body and your hands above the keyboard. Lean your entire body forward slightly, with the head in line with your torso. Thighs should horizontal relative to the ground, your shins vertical and your feet flat on the floor.

Workstation Adjustments

Arrange each workstation to the worker. Adjust chair height so your feet are flat on the floor when seated, and support the lower back by the back rest. Adjust the keyboard to wrist level and place the mouse within reach. Adjust the top of monitor to your eye level. Place reference documents on a holder close by.

Lighting and Noise

Regulate lighting and noise levels. Use task lamps to adjust lighting to the job. Remove middle bulbs of fluorescent lights to reduce brightness. Arrange the desk so the lights are parallel and to the side of the monitor and facing away from windows. Reduce noise levels by putting equipment behind barrier walls or dividers.

Fire Prevention

Heat-producing office equipment, space heaters and appliances are potential fire hazards. Turn them off at the end of the day and use proper electrical outlets. Also be sure not to overload outlets.
